Apologies and Portsmouth NH Job Copy



My apologies for sending out an attachment given the current dangers
inherent in our interconnected world. I have incorporated the position
description into my message.  I was trying to push through a big chunk of my
"to-do" list before 9 o'clock. No excuse, but you know the drill...

Job Description for the Keeper of the Portsmouth Athenaeum

1.      Introduction

        This position involves general oversight of the operations of an
historic proprietary library and archive of regional history which makes
many of its resources (a research library, lectures, and exhibits) available
to the general public as well as to its 350 Proprietors. A successful
candidate for this position will be accountable for carrying out the
following tasks or delegating them effectively.  This is considered a part
time position based on 25 hours per week.

2.      General Duties and Responsibilities

For the Board of Directors. Report to the Board issues of concern with the
organization and carry out tasks as mandated by the Board. Some of these
tasks include but are not limited to the following:
*       Support and attend Board meetings, ensuring Board is informed about
operational issues
*       Act as a liaison between the Board, staff, and committees
*       Help the Board prepare for the annual meeting

For the Proprietors. Manage and/or execute all tasks related to
proprietorship including but not limited to the following:
*       Communicate effectively with Proprietors regarding the
responsibilities and privileges associated with membership
*       Maintain and enhance the Athenaeum as a place for the enjoyment and
interaction of the Proprietors
*       Maintain familiarity with the collection to be able to assist
Proprietors if required
*       Manage correspondence including the annual assessment, special
fundraising, thank you notes
*       Maintain membership files on database, Proprietor vertical files in
hard copy, and information on the admission list
*       Act as a liaison between all committees to ensure proper functioning
of the organization, attend meetings as required, report to Board as
required, and assist with special events as required.

For overall Administration. Manage and execute all tasks related to the
administrative functioning of the organization. These tasks include but are
not limited to the following:
*       Supervise and manage a part-time paid staff as well as numerous
volunteers
*       Write newsletter quarterly
*       Manage and/or execute office functions such as processing incoming
and outgoing mail, approving bills, assisting with budget preparation, and
tracking supplies and equipment
*       Provide administrative assistance to volunteers
*       Keep the chairman of the Building Committee apprised of building
maintenance needs

1.      Knowledge and Skills Required

Qualified candidates must possess strong administrative skills as well as
excellent oral and written communications ability.  The ability to interact
harmoniously with Proprietors, staff, and the public is essential.
Candidates must be able to effectively supervise and manage a small paid
staff as well as a large volunteer base. Demonstrated communications and
computer skills are required including publication experience (newsletters),
database management (memberships and mailing lists) and Internet and e-mail
software applications. Education, training, and work experience (paid or
unpaid) is desired in at least one of the following fields: library/archives
management, historical research, curatorship, non-profit management,
library-related computer science.

4.  Qualifications: Qualified candidates must possess strong administrative
