Re: Retention periods for elections materials in post-conflict ar eas

Here in the states, the retention period for ballots used in federal
elections is 22 months. That is a federal regulation. Essentially, this
means we are keeping the November federal election ballots until the next
September Congressional primary election, which is held every two years.

State law and regulations cover city, town, and primary elections. There
the retention period is 60 days after the election and/or 60 days after all
recounts and appeal, whichever is longer.

Under state regulations, checklists used at an election are kept for five
years. Deleted or purged voter registration cards are also kept for five
years,

Subject: Retention periods for elections materials in post-conflict
areas

Dear Colleagues,

This is an appeal/request for sources of information on retention
periods or destruction periods specifically for elections materials
(ballots, voter registration lists, special needs ballots, etc.). We
have just completed conducting the Kosovo Assembly elections here and I
would like to know what other (post-conflict) areas do/have done with
their elections materials. What sorts of retention/destruction
guidelines can we offer management? Following the first elections here
(which were municipal and held in 2000), the destruction periods were 30
and 60 days after certification of the election results.

Any assistance is greatly appreciated!

Sincerely,
Harriet Gabbert
