Compiling Archives for a Professional Association



My name is Karin Dykeman and I have recently been appointed the Historian of
the New York State Technology Education Association. I have been doing some
searching on the web and have come across a wealth of excellent information
about preserving and storing documents. I have a much more basic question,
however.

Are there guidelines for what sorts of things or types of documents/records
should be stored in the archives of a professional association? Are there
any places I can get this sort of information from? We have some ideas
ourselves of things we'd like to keep, but would like to know if there is a
consensus of the professionals in this field as to what a group like ours
should be saving.

I am replacing in this position an individual that had been the Historian
for well over two decades. He has a basement and garage literally 'full to
the rafters' of boxes of doucuments and files he has collected dating back
30 -40 years. We have been granted space in the Special Collections of a
university, but could not possibly store all the stuff that has been
collected.

In addition, any recommendations on ways to organize and classify the
documents we decide to keep would be helpful. In the past, a file from each
of the Association's officers for the year was kept. Is this standard
procedure or are there other ways that documents are grouped?

Any help you folks out there can provide us in deciding what to keep and how
to organize it would be greatly appreciated.
