Title: A heterarchical comparison method for identifying unique and duplicate bibliographic records in online union catalogs

Abstract: A method for identifying unique and duplicate bibliographic records in online union catalogs is tested. The method utilizes a heterarchical arrangement of MARC fields for comparing bibliographic records which contain the same title or the same author and title. A heterarchy is defined in this study as an organization of elements which may serve as a hierarchy, though without the strict subordinate relationships; the relationships among the elements may vary, yet each element contributes to a common function.

A MARC field heterarchy was devised for each of the MARC format samples included in the study based upon the MARC fields' frequency of occurrence and their usefulness in distinguishing one record from another. The sample records were then compared field by field according to the selected heterarchies, with the comparison ending with the first occurrence of non-matching heterarchy fields.

The effectiveness of the method was tested by requesting via inter-library loan those items identified as duplicates for "item-in-hand" verification. The effectiveness of the method in identifying duplicate bibliographic items was found to vary among the different MARC format samples. The reasons for the differing levels of effectiveness of the method are analyzed and some suggestions are made for improving the method's effectiveness. The overall effectiveness of the method in identifying duplicate bibliographic records was calculated and it is concluded that the method is a useful way to identify and subsequently eliminate duplicate bibliographic records in online union catalogs.
