Passport and visa

Passports, valid for at least six months from the entry into China, and entry visas are required to visit China. Visas may not be required for visitors from certain countries, and conference participants are advised to consult the nearest Chinese diplomatic mission for details. The passport may be needed to check into hotels, book airline tickets and change money.

Conference will send an invitation letter via email for the conference participants to apply for a visa. If enquired, a formal invitation letter can also be sent via airmail. The application should be made preferably at least one month before departure for China. Alternatively, conference participants may ask their travel agent to arrange their travel to China and obtain a tourist visa irrespective of whether or not they have the invitation letters.

 

Arrival in Beijing and Departure

When arriving at Beijing, the conference participants should first change some money at the Bank of China in the airport so that they can pay for taxi and other services with local money. Taxi can be easily found at the taxi stand outside the airport terminal. The cost of a ride to the hotel is roughly 100 Yuan or 12 US dollars. Please do not accept rides from persons who offer taxi service elsewhere at the airport. Make sure that the taximeter is turned on before the ride starts; you need to pay only the fare indicated by the taximeter plus 10 Yuan for the airport highway. Ask for a receipt printed out from the taximeter before you get off the taxi in case you have left anything in the taxicab or in case you have been overcharged.

The organizing committee will send some staff with the sign of the conference logo to the airport in the afternoon of Sept. 20 (14:00-20:00) to meet the arriving conference members and to direct them. All airports in China levy a departure tax on departing passengers. It is 50 Yuan (US$6.2) for domestic flights and 90 Yuan (US$11) for international flights. Vouchers for the departure tax can be purchased in the terminal building at the airport.

 

Local Transportation

Taxi is the most convenient form of transportation for foreign visitors. There are three rates applying to three different models of cars: 1.2Yuan, 1.6 and 2.0Yuan per kilometer. These rates apply only to the first few kilometers. Then, 50% more will be added to every kilometer.

The excellent public network will get you almost everywhere. Public buses are the most popular and inexpensive transportation means in Beijing. However, all stops and bus signs are written in Chinese, and bus conductors speak only Chinese. Some buses are air-conditioned, but most are not.

 

Local weather

Beijing's climate is defined as "continental monsoon." September is considered to be the best time to visit Beijing as the skies are clear and the weather is very comfortable. The average temperature is 19.4 degree (Celsius) and there is not much rain at this time of the year.

 

Liabilities

The conference organizers cannot accept responsibly for personal accidents or damage to any personal property of conference participants and accompanying persons. It is advisable to arrange personal insurance for the duration of the conference and any pre- and post-conference trips.

Method of Payment

All fees must be paid in U.S. dollars by bank transfer, bank draft, or in cash. Currency exchange or bank service fees are the responsibility of the conference participants. If these have occurred during money transfer and have not been paid by the conference participants, they will be charged upon registration at the registration desk.

On-site payments at the conference should be made in US dollars in cash.

 

Cancellation and Refunds

All cancellations of registration must be written to the Conference Chairman. No refunds will be made after September 10, 2004 but substitute conference delegates are acceptable. Refunds will be made after October 10, 2004, according to the following schedule:

Accommodations

A block of rooms at the Beijing Friendship Hotel will be reserved for conference participants and accompanying persons in the hotels listed below at special rates for standard rooms per night, including breakfast and service charges.

Visiting the museum of history, Wild Goose Pagoda, the Terra-cotta Warriors of Qin Shi Emperor, the Stele Forest

Fee: US$400 per person for a group of 5, it includes air-ticket, airport transfer service, English-speaking guide, sightseeing admissions, accommodations, meals, and local transportation between Beijing airport and hotel.

2.       Beijing-Xi’an-Guilin-Beijing (5 days)

Visiting the museum of history, Wild Goose Pagoda, the Terra-cotta Warriors of Qin Shi Emperor, the Stele Forest, cruise on the Li River with picturesque scenery.

Fee: about US$600 per person for a group of 5, it includes air-ticket, airport transfer service, English-speaking guide, sightseeing admissions, accommodations, meals, and local transportation between Beijing airport and hotel.
