Job: Records Analyst, Massachusetts, Harvard University



TITLE:  RECORDS ANALYST     
DEPARTMENT:  Harvard University Archives
SALARY GRADE:   55 

SUMMARY:
Reporting to the Associate Archivist for Records Management, this position
provides records management services including:
    ·scheduling and transferring University records, 
    ·providing records management advice to University departments, and 
    ·preparing reports and making recommendations for effective control of
documents, files and records in all formats.

This includes responsibility for the survey, inventory, and description of the
University?s official records, as well as other records and papers of the
University community.  The incumbent makes appraisal recommendations for the
disposition and retention of University records and for the transfer of
permanently valuable records to the University Archives.

DUTIES:
Under the direction of the Associate Archivist and the Senior Records Analyst
the incumbent performs the following tasks:
    A. Records schedules  
         a. Conducts surveys and inventories of records. 
         b. Prepares drafts of  records schedules for review by client offices
and senior staff. 
         c. Creates and maintains documentation of appraisal and scheduling
activities.
    B.  Records acquisitions and accessions.
         a. Arranges for transfer of records to archives and records centers.
         b. Prepares preliminary inventories and describes records series. 
    C. Records management advisory.
         a. Conducts surveys and documents records management operations in
University offices. 
         b. Assists in the preparation of records management advisory reports
for review. 
         c. Provides offices with guidance and recommendations to improve
recordkeeping practices. 
         d. Advises and trains staff of University offices and advises on the
use and application of records schedules. 
         e. Supports and assists the implementation of the General Records
Schedule, Special Records Schedules, and other records management systems in
departments.

QUALIFICATIONS:
Education:
Bachelor?s degree with course work in history, business law, business
administration, or related disciplines required.  Master of Library Science,
or  master?s degree in information management, history or archival studies
preferred. 
Experience:
Professional experience in records management or archives, preferably in a
University setting, required. 
Skills and Abilities:
Knowledge of files management, computer systems, automated records management,
electronic archives, and control of electronic documents.  Strong analytical
and communication skills and positive client-service orientation are
essential.   Must be able to work effectively as a team member.  Must be able
to conduct a variety of projects and tasks in a complex  and dynamic
environment, work in high pressure situations, and work effectively at all
levels of the University community.   Must work with a varied clientele with a
high degree of tact and diplomacy.  Strong communication and presentation
skills are required.  At times may work in basements, attics, warehouses and
other records storage areas that may be dusty or moldy.  Must be able to
regularly lift 35 lb. records storage boxes.
