Re: Multiple Copies of Material in Archives

I work in a community college archives. I usually keep two copies of certain items like catalogs, brochures for particular events or programs, etc. That way if one is being used in a display, the other copy can remain in the collection and is accessible to patrons. I also have a fair amount of items that are in frames, more or less a permanent collection on display in my office. The duplicates of these framed items are safely stored away as part of the "official" archive collection. It is a judgement call as far as which items (multiples) should be kept (as multiple copies). The Archives at the University of Maine at Farmington
is undergoing a massive re-organizational project (its
been neglected for about a decade). During the
organizational process I have come across multiple
copies (3 or more) of the same edition of a handbook,
pamphlet, etc. My supervisor and I are wondering how
many copies of such items do other university/college
archives keep? I am in favor of keeping two copies,
whereas my boss only wants to keep one copy.
