Apologies for duplication. This email is being distributed widely to alert
archival educators about the GRADUATE STUDENT SESSION at this year's
Society of American Archivists meeting in Denver, August 28 - September 3,
2000.

For the past four years, the SAA Program Committee has offered a session
at the annual meeting on graduate student research.  The 2000 Program
Committee has decided to include a similar session in this year's program
to showcase graduate student archival research projects in North America.

The primary purpose of the session is to highlight the innovative and
interesting research done by our graduate students by providing a forum
where the results of their work can be made available to a wider
professional audience. Other aims for the session are to raise the profile
of student members within the archival community, to encourage early
participation by students at SAA meetings, and to underscore the role
graduate education programs for the profession.

The 2000 SAA annual meeting will be held in Denver, Colorado, August 28 -
September 3, 2000.  The graduate student research session is scheduled for
Friday, September 1st, 1:30-3:00pm.  Please see the description for this
session at the end of the memorandum.  This memo discusses:

* Eligibility
* Nomination process
* Deadlines for nominations
* Review procedures and criteria
* Notification of selection decisions
* Delivery of student presentations.

While the process may seem overly detailed at first glance, our goal is to
devise a process that is uniform and fair to all nominees.  This process
has been used successfully for this session in the past and I am happy to
continue it.

With your cooperation, the 2000 session can highlight some of the very
significant work being carried out at the graduate level. A sub-section of
the Denver 2000 SAA program committee will serve as selection judges. To
avoid any conflict of interest, archival educators serving on the SAA 2000
program committee are not eligible to sit on the graduate session
selection committee

GRADUATE STUDENT RESEARCH SESSION

ELIGIBILITY

Any current or recent student in the U.S., Canada or Mexico who has
completed a research paper for a graduate-level archival education course
is eligible for nomination. The student's research project must have been
completed between Spring 1999 and Spring 2000. Research projects that are
part of a student's ongoing thesis or dissertation work are also eligible.
Students selected to participate must be able to attend the SAA annual
meeting in Denver.

NOMINATION PROCESS

- Nominators: only archival educators may submit nominations

- Number of Nominations per Archival Educator: an archival educator may
nominate no more than two papers/research projects for the session on
graduate student research presentations.

- Nomination Package: submissions shall include the following:

1. a cover sheet including: the student's preferred name for the meeting
program, spring/summer address, phone number, and e-mail address (if
accessible during the  summer);

2. the educator's spring/summer address, phone number, and e-mail address;

3. a one-page abstract of the student's research project, including the
title of the paper/project (DO NOT SUBMIT THE ENTIRE PAPER)

4. a letter of support from the archival educator outlining the importance
of the research conducted by the student and the quality of the research.

- Nomination Deadline:

The deadline for RECEIPT of the nomination package is May 20, 2000. Fax
submissions are permissible. Please send an email tickler to
<davwal@umich.edu> for all submissions to let me know what to expect in
the mail/fax so that nothing slips in between the cracks.

ATTENDANCE AT SAA MEETING REQUIRED

If a student knows ahead of time that he or she will not be able to attend
the SAA meeting in Denver, the archival educator should not nominate the
student. Unfortunately, SAA cannot support travel costs or registration
fees.

REVIEW PROCESS AND CRITERIA

- Process:

Nominations will be reviewed by a four member sub-panel, drawn primarily
from this year's Program Committee. This review panel will select up to
four students who will participate in the session.

- Criteria:

Submissions will be evaluated on the basis of the originality,
significance, and presentation of the research and the archival educator's
affirmation of the quality of the research product.

NOTIFICATION OF SELECTION DECISIONS

The review committee will make its final decision no later than June 20,
2000 in time to meet the SAA deadline for text for the meeting Pocket
Guide on June 30, 2000.  After the selection decisions, the sub-committee
will notify the successful students and will inform all archival educators
who submitted nominations.  We expect that this quick review will allow
the students selected for the session to make plans to attend the meeting.

DELIVERY OF STUDENT PRESENTATIONS

This session will be chaired by Timothy L. Ericson, Adjunct Instructor,
School of Library and Information Science, & Director of Archives and
Special Collections, Golda Meir Library. Assuming a selection of four
participants, each student will have 15 minutes to present their research
paper/project. This will require each student to present an abbreviated
version of their paper. In their presentations, students should discuss
the focus of the research, the relevance of the topic, the research
methodology (when such contributes to a fuller understanding of the
research results), and research results and conclusions. There will be a
little time at the end of the session for comments and questions from the
session chair and the audience.

May 20, 2000 - RECEIPT of the nomination package

June 20, 2000 - review committee PROGRAM SELECTION deadline (announcement
of selection for follow shortly thereafter)

September 1 - GRADUATE STUDENT SESSION in Denver

PLEASE NOTE:

Archival educators may submit a student's work for both this session at
the annual meeting and for the SAA's Pease Award, which recognizes
superior writing achievements by students. The Program Committee has no
role in the Pease Award selection process. For more information about

Speakers to be announced

Graduate students enrolled in North American archival education programs
conduct some of the most innovative and interesting research projects
within the archival community. In order to share the results of this
research with a wider audience, this session will present several of the
most innovative and significant student research projects. Students will
be nominated and selected after this program is printed; their names and
topics will be listed in the pocket guide available in Denver.
