Re: Policy regarding directors,officers and staff



We had similar experiences here, both with board members and
with directors taking it on themselves to 'acquire' material without
regard to the collection development policy. A good approach
involves making sure that you
* have sound policies backing your acquisitions program - ones
that spell out who is bound by the policy and what your acquisition
priorities are (get policies ratified where necessary)
* never agree to take in any material without appraising it against
the collection development policy - it's my belief this caveat must
be reflected in the deed of gift or receipt of material for appraisal

I'm sure you're well aware of the legal pitfalls with donations that
are improperly documented - in my experience, it's always wise to
remind 'them' that a deed of gift is a legally binding document (they
often 'forget'). Also try playing the 'efficient use of resources' card -
none of us can afford to acquire material we don't consider of
permanent or enduring value vis-a-vis our collections.
