Re: Help!!! Patrons and scanners



I have both volume and format restrictions governing duplication of
materials in the IIT Archives.  At present, I refer to these more as
"working statements" rather than "policy"  until I'm a little more
comfortable with them.

Two separate requests  --one to duplicate an entire folder, the other to
e-mail a 130-page oral interview transcript-- recently prompted my decision
re volume limitations, which now reads:  "Reproduction of any given
collection, folder, or multi-page item is normally limited to 60% of the
total volume."

Requests for scanned images occur frequently.  I routinely decline them for
several reasons:  fear of inappropriate manipulation of the image; inability
to track unauthorized use and/or credit line inclusion; loss of income (I
retain the right to charge for use of the image).  Mostly, though, if the
patron wants the image badly enough, they are willing to purchase a
photographic print, which means I get a preservation negative out of the
transaction at their expense.

I would like to hear what other do.

We have an individual who wants to bring in his own scanner, make high
resolution scans of our stereoscopic views, publish them with images from
other archives and individuals on CD-ROM, and sell the CD.  We allow patrons
to copy our materials with cameras for $2.00 per item charged and use them
as long as they agree to use a credit line with the images in any published
form.

While the patron is willing to make a statement that the images came from
the Arkansas History Commission, he is not willing to ask individuals who
use these reproduction quality scans to give credit to the AHC.

I am interested in your response to this situation and any rules,
regulations, policies, procedures that relate to this issue.
