Call for Comments on ISAAR(CPF) - revised

ISAAR(CPF) Review

1. Review Schedule 

A major item in the Strategic Work Plan of the ICA/CDS for 2000-2004 is the scheduled review of ISAAR(CPF): International Standard Archival Authority Record for Corporate Bodies, Persons, and Families 5 years from its publication.  ISAAR(CPF) was published in 1996. This announcement is the call for that review so that a new and revised edition may be ready by 2002. 

December 2000:  Call for comments and amendments issued to archival community and other interested individuals and organizations.

        31 July 2001:   Deadline for responses (strictly adhered to).

        October 2001:   Review of comments by ICA /CDS at its first full meeting.

        2002:   ISAAR(CPF) 2nd edition finalized and recommended for publication by ICA-CPM.

All "A" and "B" members of ICA (National Archives or equivalent institutions and Professional Associations of Archivists, respectively) are hereby invited to send their comments to the Secretariat of the Committee at the address mentioned at the end of this announcement. In addition, other professional associations, including organizations and individuals external to the ICA, who have expressed an interest in this ICA standard are invited to respond with their comments on the standard. 

THE DEADLINE FOR COMMENTS HAS BEEN SET FOR 31 JULY 2001. DUE TO TIGHT TIME LINES IN THE SCHEDULE FOR REVIEW, THIS DEADLINE WILL BE STRICTLY ADHERED TO.  ANY COMMENTS RECEIVED BY THE SECRETARIAT OF THE ICA/CDS LATER THAN THIS DATE WILL BE KEPT ON FILE FOR THE NEXT REVIEW, 5 YEARS AFTER THE PUBLICATION OF THE REVISED EDITION.

2. Review Criteria

The following criteria and clarifications should be kept in mind when sending comments: 

2.1     Maintaining or revising an existing standard is a fundamentally different process from developing a new standard.  Once a standard has been published, promulgated, widely accepted and, in many cases implemented, such as is the case with ISAAR(CPF), it is essential that the stability of the standard is maintained. The ICA/CDS, in its review process, is unwilling to take up suggestions of major or significant changes that alter the principles and purposes that presently underpin it.  For example, proposals for additions and changes to wording of the existing text will be considered by the Committee, as will be additional information elements where there is sufficient justification.  Additional and different examples would be most welcome.  Therefore, the review process will involve:
                a. the addition of new information elements where warranted,  based on the experience of institutions and organizations using the standard, and;
                b. a review of ISAAR(CPF)'s clarity of language and the examples used to illustrate the rules. 

2.2     The ICA/CDS is particularly interested in ensuring the compatibility of ISAAR(CPF) with the recently revised ISAD(G).   Comments on the existing links between both standards, and how those links might be strengthened would be welcomed.

3. Submission of comments to ICA/CDS:

When preparing comments for the committee it would be helpful if they could be structured into two parts:
        Section 1: general comments on the standard as a whole, and;

        Section 2: comments which address specific information elements, their rules, examples, etc. 

Receipt of comments would be preferred in electronic form, addressed to
