Re: Moving a Collection to a new location

You have already received several excellent replies. But first some
questions.
When do you plan to move the collection? Next week, Next month, 3 months.
Will the move take place during the weekdays or the weekend. Will your
operations be closed during the move.

If you have the time you should develope a detailed list of requirements
from these requirements you can then send an RFP to various moving firms in
your area or national ones. The RFP will state your requirements ie what
needs to be moved, how much and when. it should also include requirements
that the vendors should meet such as equipment, bonding, experience,
references etc.

Each vendor should submit a response that answers your questions, they may
even ask additional questions of you. enlist the aid of your building
operations folks. Why? Because you need to know where the moving vans can be
parked, where is the freight elevator (if there is one), or will you have to
use passenger elevators.

Develop a project schedule. Can the move be done during normal work hours
(mon - Fri) or will you have to do it on the weekend to prevent disruption
of service. Get a team together to assist. Obtain walkies to be able to
communicate easily from building to building or floor to floor. Talk to your
facilities manager. have your attorney review any contracts

We are in the process of preparing to move one of our special collections to
its new home in another building.  Can anyone offer advice about using
moving companies or suggestions on what do to when preparing the items to be
moved?  The collection has about 1000 linear ft of boxed material and
another 330 linear ft are large bound volumes.
