Project Description

The Archives of the Philadelphia Museum of Art has a temporary full-time
position available for an Archivist or Associate Archivist. This position
is being funded through a generous grant from the Andrew W. Mellon
Foundation.  The purpose of the four-year project, currently beginning its
second year, is to enhance scholarly access to five historically
significant manuscript and record collections through an integrated program
of processing, database development, digitization, and encoding for
Internet distribution. In addition to this position, project staff consists
of a full-time Project Manager and Assistant Archivist/Archives Assistant,
as well as a digital imaging and a database consultant. We are looking for
applicants who are team-oriented, organized, conceptual self-starters and
able to meet deadlines.  Those with experience working in a museum
environment are also highly desirable.

Job Description

Under the direction of the Project Manager and in collaboration with the
Assistant Archivist/Archives Assistant, the incumbent will process three
manuscript and record collections.  This is a grant-funded, full-time
position for a three-year duration.  Rank and salary commensurate with
experience and includes a competitive benefits package.  Salary range:
$30,000-$34,000.

Responsibilities.  Arrange, describe and make accessible selected Museum
archival records and manuscript collections according to professional
standards.  Working with the Assistant Archivist/Archives Assistant,
analyze unprocessed and semi-processed records to develop appraisal
criteria, processing plan, and arrangement and description procedures.
Identify and care for "at risk" documents either through basic preservation
procedures, such as preservation photocopying and refoldering, as well as
coordinating conservation treatment with outside vendors.  Prepare
descriptive inventories (biographical/historical note, scope and content
note, appraisal note, folder listing) using an MS Access-based collection
management system and adhering to bibliographic standards. Fully
participates in the development of an electronic resource site integrating
encoded finding aids, digital images and explanatory and didactic text.
Depending upon experience, other responsibilities may include encoding of
finding aids using the EAD DTD, creation of collection-level MARC records,
and participation in the creation and management of digital images.
Supervises the full-time Assistant Archivist/Archives Assistant.

Requirements.  Two years professional experience processing institutional
records and/or manuscript collections in an archival repository, or either
an M.L.S. from an ALA-accredited library school or an M.A. degree in art
history, history, or related discipline with an archival specialization.
Working experience with MS Access.  Excellent written and oral
communications skills, as well as the ability to work as a team member.

Preferred qualifications. Experience with descriptive cataloging
principles, including MARC-AMC and metadata standards.  Familiarity with
scanning technologies, the EAD DTD, and with encoded text applications in
general (SGML, XML, and HTML). Knowledge of basic preservation principles
and techniques.
