Re: Records Management software



Try taking a look at http://jitc.fhu.disa.mil/recmgt/  It is a page created
by the Department of Defense's Joint Interoperability Test Command
regarding DoD 5015.2-STD.  This is a standard that establishes basic
capabilities for records management software purchased by the Department of
Defense.  It has been endorsed by NARA, and many private sector records
managers look to this standard for guidance in their acquisition decisions.
In addition to information about the standard, the web site lists software
that meets the requirements and a testing schedule for non-certified
products.  There are quite a few options in this area today, though keep in
mind that many of these packages are referred to as "document management
solutions", which are designed with immediate business needs in mind.

I do not know that I would refer to PeopleSoft as a records management
software.  It is primarily aimed at human resources applications (personnel
attendance records and the like).  The information contained within an
organization's PeopleSoft database would be of interest to a records
manager, but the application itself is a highly specialized database, with
report-generating capabilities.  As I understand DM/RMA software, they are
applications which are able to retain records tagged with metadata
elements, regardless of the application that produced the document (Word,
Excel, WordPerfect, etc.).  These records are stored in a searchable
database, and those responsible for the system can perform certain records
management functions, such as implementing retention schedules (e.g., any
document produced by Human Resources will be purged from the system 5
years).
