3 Processing Positions available at Henry Ford Museum



Henry Ford Museum & Greenfield Village, in Dearborn Michigan, is soliciting
applications for several archival positions to be housed in the new Benson
Ford Research Center (opening March 2002--see succeeding messages for
additional position descriptions.  The Museum is a non-profit educational
institution independent of the Ford Motor Company.  However, these
positions have been created in partnership with Ford, and are focused
principally on processing and servicing the several thousand cubic feet of
Ford historical corporate records donated to the Museum since 1964.

Applications must be received by 11 January 2002.  All positions carry the
proverbial competitive salary and benefits.

Two position descriptions are listed below:  Lead Processing Archivist and
Processing Archivist.  The Museum seeks to fill two (2) Processing
Archivist positions and one (1) Lead Processing Archivist position.

TITLE:  Lead Processing Archivist
TEAM:  Research Center Programs, Collection Information

SUMARY OF PURPOSE:
Responsible for the arrangement and description of archives and
manuscripts, and supervision of two professional archival processors.
Principal responsibility for the Lead Processing Archivist and the two
processing archivists is the processing of record groups and series of the
Ford Motor Company Historical Records, including preparation of finding
aids, encoding finding aids using Encoded Archival Description, preparing
USMARC catalog records for archival collections, and delivering information
about the material in digital form; also responsible for providing
reference service for these records.  The Lead Processing Archivist will
work with the Head of Research Center Programs and the Museum?s Archivist
in prioritizing and assigning tasks to the processing archivists.
Additionally, under the terms of a unique collaborative agreement with Ford
Motor Company, basic reference service for Ford business inquiries have
become the responsibility of the Museum?s Research Center.  The Lead
Processing Archivist and the processing archivists will be responsible for
occasionally assisting the Reference Archivists to conduct research in
primary and secondary sources to respond quickly and accurately to
reference requests from the Ford Motor Company, its agencies, vendors, and
others working for the Company, conducting Company business. Maintains high
level of expertise and participates in appropriate professional
organizations. Works as a member of or in cooperation with a variety of
teams to accomplish the institution?s mission and goals.

ESSENTIAL FUNCTIONS:
Supervision and Coordination
1. Works with the Head of Research Center Programs and the Archivist in
prioritizing and assigning tasks to the processing archivists.
2. Reviews and approves the work of the processing archivists for quality.
3. Works with the Manager of Library Technical Services to coordinate the
accurate and timely entry of archival catalog records and finding aids into
OCLC and Imagine (the Museum?s OPAC).

Arrangement and description:
4. Arranges large and complex archival and photographic record groups (and
manuscript collections) and series, primarily at the folder level; this may
entail physical and intellectual arrangement, or solely intellectual
arrangement of physically disorganized or disaggregated series.
 Completes work plan assignments on schedule.
 Contributes to establishing, and is able to follow departmental
procedures and practices.
 Knows and applies relevant professional standards and guidelines.
 Organization of materials is clear and reflects an understanding of the
collection.
5. Describes archival, photographic, and collections of library materials,
including preparation of finding aids, encoding finding aids using Encoded
Archival Description, preparing USMARC catalog records (generally following
AACR2), creating bibliographies and indexes, and other descriptive
information as assigned.
 Performs subject and name cataloging to appropriate depth.
 Ensures that information in catalog records is accurate.
 Ensures that catalog text notes are as brief as possible, while conveying
essential information.
 Ensures finding aid lists and narratives are accurate and complete.
 Ensures lists and narratives each contain an appropriate level of detail.
 Ensures information in lists and narratives is presented clearly.
6. Creates item-level records for scanned images from visual collections
for on-line database.
7. Takes responsibility for keeping up-to-date on developments in archival
theory and practice, including cataloging rules and descriptive standards.

Reference and Research:
8. Works with other staff in providing assistance to on- and off-site users
of the Museum?s Research Center collections.
9. Provides both traditional and electronic reference services to a broad
public.
10. Provides in-depth reference services, under terms of formal
collaborative agreement in partnership with the Ford Motor Company
Archives,.
11. Assists with user's education and outreach activities including
preparation of exhibits and providing orientation for students, visitors,
and other patrons.
12. Acts as team player and provides expertise within team and other teams
as appropriate.
13.  Related duties as assigned.

MINIMUM REQUIREMENTS:
Graduate degree in archival studies; or ALA-accredited MLS or master's
degree in history (or other relevant subject) with formal coursework or
training in archival management and theory.  Two years experience
cataloging archival collections in MARC, following APPM; familiarity with
Encoded Archival Description.  Experience providing reference service in a
research, academic, or corporate library or archives.  Experience with
institutional or corporate records. Knowledge of standard collection
holdings maintenance methods in processing, handling, and care of archival,
photographic, and library materials.  Must be proficient with Word.  Must
communicate effectively with staff and researchers orally, one-to-one and
in groups; must write clearly, concisely, and accurately.

SPECIAL SKILLS:
Candidates should know archival theories and their practical application
for large and small collections, including understanding of accepted
protocols for arrangement, description, cataloging, and preservation of
archival materials.  Self-starter and self-directed, but able to work in a
team environment.  Experience cataloging collections of visual materials
and individual visual images preferred.  Experience with OCLC cataloging
desired.  One year of supervisory experience (not necessarily in archives
context) strongly preferred.  Must be able to work with sensitive material
and maintain confidentiality.
