Large Format Items

We have just begun the process of digitizing our collections here at the
Political Library of New Hampshire. We have quite a bit of oversize
material such as political posters. Right now I am working to assign an
identification number to each item and am entering any metadata attached to
the item into an Excel spreadsheet. Prior to the items being scanned, the
metadata will be downloaded into a database. The spreadsheet is set up in
such a way as to facilitate this process. The database will eventually be
accessible via the web. At this point, we are leaning toward using Access,
but the final decision has not been made. One of my tasks is to research
the different kinds of software that are available to determine what will
work best for us.

We've decided to outsource the scanning of these items. Due to staffing and
space limitations it just wasn't feasible to try to set up an in-house
scanning operation. We were also concerned about buying a lot of high tech
equipment that would be obsolete within just a few years. The company we
are working with is Systems Integration Group in Maryland. They have done
quite a lot of work for the Library of Congress and have experience dealing
with historical collections. If you have specific questions you might want
to contact them directly.

I'm happy to answer any questions I can about our experiences, but as this
is a brand new project, we are still working our way through.
