Re: vertical files to compact shelving

Deborah:  I am in the middle of taking bids for compact shelving.  The system by SpaceSavers will include two 4-drawer lateral file built-ins.  They will be located in the aisle we that will use for primary assess through to the rear exit of the archives.  This aisle will always remain open when we are not working in the compact shelving "stacks".  I call it my "show and tell" aisle.  I will use the pull out drawers for the Archives' donor and personnel files and for the sets of hotel company annual reports.  The set of Hilton Annual Reports (from 1946 forward) are always referenced several times a week, so it is important to make them quite easily accessible.  The drawers will be the standard lateral files that will have access from the top, therefore, I won't have to make new dividers.

The down side is that I will be discarding the last 4 of the original 58 file cabinets that were sent full of files from the offices of the founder of Hilton Hotels.

I suppose there are some that would declare the cabinets artifacts, right?  Cathleen

Subject: vertical files to compact shelving

 Hello!

As part of our library renovation, we're going to be moving the contents of about 50  4-drawer vertical filing cabinets into compact shelving. They contain the library's artist and institutional files--clippings, brochures, etc., all filed in ordinary file folders. It is a very heavily used collection, both for research and with volunteers filing new additions.

We expect that the vendors will have some solutions to offer (lateral files on the compact shelving carriages, hanging folders, etc.), but would appreciate input on what worked (or didn't) for others. For a lot of reasons, just putting the folders on shelves won't work--at the very least they'd all have to be refoldered into accordion folders. Has anyone boxed VF materials in open-top boxes to place on shelving? How much bulk did this add to the collection? Did it help or hinder access?

Has anyone experienced such a move? Would you be willing to share your experiences?

Thanks!
Deborah
