Electronic Records Internship - Kansas State Historical Society



The Kansas State Historical Society is accepting applications for an Electronic Records Management Project Intern. 

Project Description

The Kansas State Historical Society (KSHS) is engaged in an 18-month project, funded by the National Historical Publications and Records Commission (NHPRC), to facilitate implementation of the recently created Kansas Electronic Records Management Guidelines (also the result of an NHPRC project).  It involves applied research at a number of specific agencies to determine how the guidelines can best be implemented and whether or not any changes to the guidelines are warranted.

There are three major components to the project:  records scheduling, system implementation, and state architecture development.  The first component addresses how existing and future retention schedules may be applied to electronic materials.  The second component deals with ways to ensure that records get captured and retained by information systems, when appropriate.  And the final component involves participation in the current initiative to develop the Kansas Statewide Technical Architecture (KSTA).

Intern Duties

The Electronic Records Management Project Intern will be involved with all areas of the project but will focus primarily on the records scheduling component.

This will involve:
- visiting and interviewing state agency personnel to identify existing electronic records and practices,
- inventorying agency electronic records,
- identifying or developing retention schedules,
- working with the electronic records project team to develop more detailed agency electronic recordkeeping plans, when necessary,
- making recommendations to the project team regarding changes to existing records scheduling policies and procedures. 

Qualifications

Applicants should demonstrate:

- Completion of at least twelve graduate semester hours or equivalent toward a degree in archival management, library science, information management, information science or related field.
- Knowledge of and some experience with records management and archival principles and techniques.
- Knowledge of and some experience with electronic records management.
- Understanding of basic issues in data and system management.
- Excellent verbal, written, and interpersonal communications skills.
- Ability to establish effective working relationships with other staff and state agency personnel

Stipend and Term of Internship

The internship includes a stipend of $2000 and will last a minimum of eight weeks.  It is expected that the project will begin at the end of the Spring term.  Specific starting and ending dates are negotiable.

Deadline for application materials is March 25, 2000.  Award of the internship will be announced no later than April 14, 2000.
