Re: Multiple Copies of Material in Archives



My standing policy is to retain at least two copies.
Let's assume you are keeping an important publication;
how many years will it take for handling to "wear" it out?
how many photocopies will be made before the staples
spring? etc.   In short, having a second copy provides you
with a backup copy.    The key is deciding what is important
and what is not.    A second reason for two copies is that
it permits you to handle multiple use.   Let's say you place
one copy in an exhibit case--you have the second copy for
someone who wants to look at it, so you don't have to open
the exhibit case.   Perhaps the class of 1975 wants you to
have a table display--with two copies, you can take one and
still have the backup in the archives.
