"Active" Artifact



Hello fellow Archive dwellers,

I'm hoping for some advice or suggestions please.  I am the Archivist at a community college and some time back a "groundbreaking"  shovel complete with engraved plates (documenting groundbreakings it was used for) was donated to the archive collection.  Now that the college is undergoing a lot of construction activity the shovel has been requested to be used for official "groundbreakings", so I have let it go out.  Today the shovel was returned to the archives and the person returning it (an administrator) asked that I check into what groundbreaking information is missing (Theatre, Planetarium, Child Development Center groundbreakings) and find out about having the engraved plates made or determine how all the information is going to fit on the shovel.  It occurs to me that this has become an "active" artifact and I'm puzzled about whether it belongs in my collection at this point.  Also, I'm thinking I'm not necessarily the one who should be responsible for keeping the shovel "current".  I've done some checking about the origin of the shovel, but so far have come up empty.  More or less it's one of those incidents where something is being delegated to me and I'm questioning whether I'm the appropriate person.  We do have a public relations person here, is this more in her domain?  I would welcome your thoughts.  Many thanks in advance.
