Records Management Specialist

General Summary of Work:
In collaboration with the City Records Manager,
the Records Management Specialist will: conduct
records appraisal surveys; assist City agencies in
developing records retention schedules and
implementation within the department; assist in
conducting training in records management issues
and practices; conduct records compliance audits;
analyze recordkeeping systems; and assist the City
Records Manager in the development of City-wide
records management policies and procedures.

Duties:
Conduct records appraisal surveys and inventories
in all City departments, identify and develop of
records series which reflect the responsibilities
of the agency
Develop and implement records retention schedules
for City departments for paper and electronic
based records, conduct legal research to ensure
retention periods meet federal, state and local
requirements
Develop procedures to ensure City departments
retention schedules are updated regularly, develop
and implement a timeline to ensure updates are
completed on a regular schedule,
Analyze agency recordkeeping systems (both paper
and electronic) and recommend improvements
including implementing new systems, use of
emerging technologies, imaging systems, etc.,
ensure compliance of electronic systems with
existing state or federal guidelines,
Assist in planning and conducting training
regarding records management policies and
procedures, identify and develop materials to be
used by those conducting training and the
materials for participants,
Assist City agencies in developing vital records
programs, develop vital records schedules and
identify methods of protection for agencies? vital
records,
Conduct audits of City agencies for compliance
with records management policies and procedures,
Assist in identifying and developing City-wide
records management policies, conduct research to
identify emerging trends in records and
information management which may affect the City,
Assist Archives staff with the identification and
accession of archival records into the Municipal
Archives,
Perform other duties as required.

Education Qualifications:
Bachelor?s Degree and 3 years experience in
records and information management

Preferred Qualifications:
Masters Degree with concentration in archives and
records management desired
Knowledge of records management theory and
practices
Knowledge of electronic records issues and
emerging technology solutions
Knowledge of Washington State Public Records
statutes
Knowledge of archival theory and practice
Ability to communicate effectively (oral and
written)
Familiarity with computer programs and systems
including HTML, Access, PowerPoint, Excel, Word
Project management skills
Presentation skills
Ability to analyze data and produce reports

Salary Range:  $19.93-23.25 per hour, with
excellent benefits.
