Re: Archives/Records Center Planning

Ms. Stephensen,

I have not been responsible for design/advice on an area as large as you
are dealing with, but I would offer a couple of comments. First, be sure
to have an engineer determine how much of a load the floors can bear. I
have know institutions that have had to either put in less than
floor-to-ceiling shelving units or take care not to put too much on their
shelves, because they had not though to check the floors before their
storage areas were completed. Resource allocators do not take kindly to
finding out that a space is not being used to its maximum potential. Also,
I would be concerned about the "enormous windows" for two reasons. Unless
UV filtering is placed over the windows, they introduce damaging sunlight
to storage and reference areas. Second, if your storage areas have these
windows, they pose a possible security hazard, as they are a point of
entry.

Good luck with your project, and I agree with you on carpeting. They also
make pushing a fully-loaded cart more difficult than necessary.

Dear Listservers,
I have another question requiring your collective wisdom. The City of
Manchester, NH is contemplating the conversion of a school into an
archives/records center. This may not happen for a few years but we would
like to start the planning process. The school was built at the turn of
the
twentieth century and has your typical enormous windows, high ceilings,
wooden floors, etc. I am against carpeting because of past experience with
off-gassing problems so that won't be an issue.
What is your experience with HVAC systems for large areas (6,000 square
feet per floor), security, shelving, etc.
The goal is to present a budget so that the lobbying may begin with the
Board of Mayor and Aldermen.
    Thank you.
