       When estimating square footage required to house the volume of
records, consider the type of storage container, type of shelving, height of
ceiling, and any obstruction that reduces available storage.

       Ceiling heights and stack heights have a major effect on the ratio of
cubic feet of records to be housed to square feet of floor space required.
As the ceiling/stack heights increase, the ratio of cubic feet of records to
square feet of required floor space increases, and the space required to
house the records decreases accordingly.  This general guideline can be used
to determine square foot requirements:

                               RATIO OF CUBIC FEET OF RECORDS TO
                           SQUARE FEET OF REQUIRED FLOOR SPACE*

8-foot stacks     10-foot stacks   12-foot stacks   14-foot stacks  22-foot

       Applying the formula to a given situation where the stacks are typical
eight-foot stacks with 120,000 cartons to be stored (see Table 4-1--one
standard carton requires one cubic foot of space) the space required would be
44,444 (120,000 divided by 2.7) square feet.  In this case, if the stacks
were 14 feet high, the space requirement would be reduced to 26,666 (120,000
divided by 4.5).

       Ricks continues:

       Another major considerattion is the floor load capacity.  Floor load
capacity is the weight of records and equipment that a floor can safely
accommodate.  A filled records carton weighs 30-50 pounds. Care must be
exercised in planning a the records center so that the weight of the current
equipment and records does not exceed the floor load capacity and that future
additions can be accommodated.

       And on page 104, Ricks explains further:

       One factor to be considered (in space planning) is the weight of the
storage equipment and load stress on floors.  This is particularly true in
older buildings, although newer construction should also be checked to
establish weight capacity.   If this is a concern, the use of alternative
equipment may produce the storage capacity required at less total weight.
(By equipment, Ricks is referring here to storage units, such as file
cabinets,  microfilm/fiche file cabs., roll-out shelves, lateral open
shelves, etc.)    Floor load capacity may be expressed by the weight the
floor can stand (measured in pounds per square foot) multiplied by the amount
of available space (measured in square feet).  For example, if a floor is
able to stand 50 pounds per square foot and the room contains 300 square feet
of floor space, a total weight of 15,000 pounds (50 multiplied by 300) may be
safely stored in that room.

       Differences exist between the weight of the equipment (i.e. shorage
units) and the storage capacity per pound of equipment weight.   (Ricks then
discusses how to use these storage unit differences to (1) determine the most
efficient use of space when designing the appropriate storage floor plan and
(2) to insure that the storage units chosen doen't exceed the floor load
capacity of the facility.)  page 106

       Another source for info. on space planning for an archives/records
facility is Ira Penn's, et. al. book Records Management Handbook (Gower,
Brookfield Vermont; 1994) Part III Program elements implementation, Chap. 16
Records Storage.

       Page 236:

       For the stack area, the ceiling height has a direct relationship to
the cubic foot capacity of the center.  Fourteen feet high ceilings generally
provide a 5 to 1 square foot to cubic foot ratio.  ...

       Floor strength requirements are based on the ceiling heights.  A
standard records center carton (12 x 15 x 10 inches) (or 1 cubic foot) can
weigh 25 to 30 lbs.  (Here we see a real discrepancy with Rick's estimated
30-50 lbs. records carton weight capacity.)  If the center is on the ground
floor with no basement, floor strength is probably not of concern.  The
records manager should work with the facilities engineer to determine the
requirements for the building based on current and future storage
requirements.  (Penn's book provided no further information on either
estimating weight load or figuring out standard shelving requirements.)

       And, finally, due to our own proposed move of UFT headquarters within
the next 12 months, I have been told by consultants to require a minimum of
125-150 lbs. per square foot in any future archives/records storage facility.
  I will definitely be checking out this recommendation in the months ahead.

       I would be interested in hearing from others who have moved archives
in the past  couple of years and have dealt with building engineers in
planning storage facilities for archives and records centers.   (Who said
that math was not required in archives and records management?)   Big :).
