Re: Business name changes and collection titles



Steve Hensen gives clear recommendations in his Archives, Personal Papers,
and Manuscripts, 2nd ed. for what to do in the cataloging record with name
changes in terms of constructing a main entry and added entries.  Ideally
(IMHO), the title of the collection should be pretty close to the main entry
formulation whenever possible.  I'd follow Hensen and name the collection to
reflect last form of corporate name represented in the collection.  If
you're uncomfortable with that, you could still follow Hensen for the main
entry, then have as your title in your 245 field something along the lines
of "XYZ Corporation (current name) Historic Records Collection." Or you
could always add a 610 for the company's current name so folks can find it.
Technically, though, there aren't any records in the collection from the
current company, so to name it after than company is misleading.  Here are
the Hensen items that directly apply:
Item 2.1B3 Corporate body/agency name change:
"When a corporate body or agency name has changed over the period of time
covered by the records or series, enter the description under the heading
for the last name represented in the materials.  If records are subsequently
added reflecting a later name change, change the heading to correspond to
that name.  Make an added name-title entry under the heading for each
predecessor agency name represented in the collection."

2.3D Predecessor corporate bodies:
"When a group of government or corporate records reflecting corporate
body/agency name changes over time is entered under the heading for the
latest name represented, make an additional added entry under the heading
for each previous name represented in the material described."

Just out of curiosity: What title would you use for a collection that came
from a company that has undergone several name changes? Would you use the
name it was operating under when the donation was made? Use an earlier name
if the earlier name was better known than a late one? Let the donor choose
how it should be identified? Use some other method?
