Summary: Cataloging Periodicals in Archives



Earlier this month I asked how academic archives, especially those
affiliated with OCLC member libraries, handled cataloging periodicals in
the archives.  I want to thank everyone who responded with their advice.  I
will try to summarize the responses below:

One idea was to create multiple location holdings records.  Depending on
the features of your system, these holdings records get attached to the bib
record for the item.

Another suggestion was to have the Cataloging Dept. create a separate
holding symbol for the Archives copy; the holdings symbol goes in the MARC
field 049.

You and your Cataloging Dept. will need to decide about item records.   You
may need one to establish the basic holdings record, but it's optional as
to whether you need an item record for each physical issue or volume.

If you want to assign a call number, you would probably be better off using
a "local" call number than Library of Congress.  Some places list
classification numbers by record groups.

Another resource to consider is the OCLC Union List of Serials.  Separate
holdings statements for your Archives copies will show up when someone
searches the Union List.
