Re: archives budget

Once you have decided what archival supplies you need, check catalogs to see
which one has these available for the cheapest price. Having identified the
vendor, contact their customer service department and tell them you will be
making an order for a large amount of money--$400 - $500-- and ask if they
can give you a discount for that size of order. If they will, this can
stretch your money. I'm in the process of putting together a supply order
for a somewhat larger amount, and the vendor is giving us a nice discount.

Having worked with purchasing agents at two different companies I learned
some of the lingo. The key phrase when purchasing items in quantity is
BREAK-POINT. In other words at what point do I get a price break for this
item. Each item offered for sale has a different break point.

For example
File Folders
breakpoints are at 100, 1000, 2000, and 5000

boxes
breakpoints are
5, 25, 50, 100, 500+

Never say how much you have to spend. Once you know the breakpoints you can
then determine how to spread out your funds to the best advantage. Always
ask about shipping charges. Be prepared to supply the vendor with a tax id
so that sales tax can be deferred (Check with your Accounting and Tax
departments first) If you are going for a large order. Put the order out for
bid. Be sure that your vendors know that they are bidding against each
other.

Well enough of Purchasing 101
