This is where schmoozing comes into play. If the Athletic department won't sign onto the program find out what admin asst in the department is responsible for the mailings. Talk to them invite them over and show them what you have. Have a brown bag lunch and invite the recalcitrant parties over and show them what you have and what you would like to have. Be proactive. Or invite them over for a early morning coffee and donuts meeting and give them a behind the scenes tour. Work with the SID - Sports Information Director . this is the group that sends out all sorts of stuff to the press. Does your university has its own press/publishing arm? If so point out to them why they should supply you with the galleys and other pre-pub material. You never know when their next author will win a Pulitzer or become a NYT bestseller. Think I'm kidding? Well consider this "Confederacy of the Dunces" and Tom Clancy.

The main thing is they may not know about the archives or understand your purpose and role in the overall scheme of things.
